Customize List Views for Inline Editing

You can create a list view to see a specific set of contacts, documents, or other object records. For example, create a list view of accounts in your state, leads with a specific lead source, or opportunities above a particular amount. You can also create views of contacts, leads, users, or cases to use for mass email recipient lists.

You will know a list view has inline editing capabilities when you see a pencil icon next to the fields on the screen.

The only list views that can have inline editing must be limited to a single record type.

Purpose

This guide is designed to walk an Administrator or a Growth user through setting up a list view for inline editing

A user will be able to modify multiple opportunities at once through inline editing of a list view

Create List View

Decide if you want to create a new list view from scratch, or clone and modify an existing list view. For the purposes of this guide we will clone an existing list view, this gives you a good starting point. Starting from scratch is the same process, however it will start you with no fields or filters on the list view.

  1. Go to the object you wish to create the list view in.

    Note

    Examples in this guide use the Growth Opportunity.

  2. Decide if you want to create a new list view from scratch, or clone and modify an existing list view. 

Clone a List View

  1. Select the list view you wish to clone.
    In this case we will start with Growth OOB - All Open Opportunities.

  2. Select the gear icon in the top right of the list view. 

  3. Select Clone

  4. Name your list view and choose the list view permission

    Note

    it is recommended that you make the list view only for yourself (the default option), if a list view needs to be created for all users, let the admin do that. 

  5. Click Save.
    Now you are free to modify the list view as you see fit, this will include which columns to display and which records should appear.

  6. Modify the fields that are displayed on the page layout.

    1. Click the gear icon again and select Select fields to display.

    2. Move fields over to the right side where they are marked as Visible Fields.

    3. When you are done, click Save

  7. Set up a filter for which Growth Opportunities should appear in the list view.

    1. Click the gear icon and choose Edit List Filters.

    2. You can define one or many filter criteria for this list view. Only records that meet that filter criteria will appear.

      Note

      For inline editing to work, only one (1) record type can be selected, but you must select one if the object has multiple record types.

      EXAMPLE: Filter criteria: Opportunities with a proposal due date in the next 30 days. 

    3. Click Add filter. Select the field and operator. Insert a value.

    4. Click Done.

  8. When you are finished with your filters, click the Save button in the top right of the filters section.
    The list of records will now be updated according to those filters.
