Contract Record Type in Agreement Management Configuration Guide

Overview

The Agreement object in TechnoMile's Contracts Suite now includes a new Record Type - Contract. This document is a step-by-step guide on how you can configure the Contract record type for use in your organization.

Prerequisites

  • Ensure that TechnoMile's Contracts Suite is already installed and configured. The version of this package must be 2024.3 or higher.

Copy Agreement Record Type ID

  1. Click the gear icon and select Setup.

  2. Go to Agreement Object Manager.

  3. Go to Record Types and open the Contract Record Type.

  4. Copy the highlighted Record Type ID from the browser tab and paste it into any external application such as Notepad.

    NOTE

    A Record Type ID can be identified as alphanumeric numbers placed between two / signs.

Create Agreement Record Type Setting

  1. Go to Custom Settings using Setup search.

  2. Click Manage against Agreement Record Type Setting.

  3. Click New.

  4. Enter Name and Label as Contract, paste Record Type ID copied earlier, enter Sequence as 5, and click Save.

    The Contract - Agreement Record Type Setting is created.

Create Agreement Email Template Settings

  1. In Custom Settings, click Manage against Agreement Vs Email Template.

  2. Open SubK External and SubK Internal.

  3. Copy the SubK External and SubK Internal - Email Template IDs and paste it into any external application such as Notepad.

  4. Click New.

  5. Enter Name as Contract External, paste the SubK External - Email Template ID copied in step 3 above, select the External checkbox, then paste the Record Type ID copied earlier, and click Save & New.

  6. Enter Name as Contract Internal, paste the SubK Internal - Email Template ID copied in step 3 above, select the Internal checkbox, then paste the Record Type ID copied earlier, and click Save.

    The Contract External and Internal - Agreement Email Template Settings are created.

Edit Our Contract Page Layout

Add Button

  1. Go to Our Contract Object Manager, then go to Page Layouts, and open a Page Layout of your choice such as Definitive Layout.

  2. Go to Related Lists and in the Agreements Related List, click the wrench icon.

  3. Scroll down to Buttons and click its plus icon.

  4. In Custom Buttons, select and move the Create Contract button from Available Buttons to Selected Buttons using the Add arrow button and click OK.

  5. Click Save.
    A confirmation message displays.

  6. Click Yes.
    The button is added.

  7. Similarly, you can add the Create Contract button to all other remaining Record Type Page Layouts of the Our Contract object such as Commercial, IDIQ, and Order Layouts.

  8. Go to Our Contracts using App Launcher.

  9. Open an Our Contract record.

  10. Go to the Related tab and note that the Create Contract button is visible in the Agreements Related List on this tab.

Customize Agreement Wizard Setting for Contract Record Type

  1. Go to Agreement Wizard Setting using App Launcher.

  2. Select Record Type as Contract  and click Show.

  3. Click Add Section.

  4. Enter Section Name as Contract Details and click Add.
    The section is added.

  5. Go to the Contract Details section and click Add Field.

  6. Enter as Agreement Name, Field API Name as TM_TOMA__Agreement_Name__c, and Contract Vehicle Api as Name and click Add.
    The field is added.

  7. Similarly, add the following fields with:

    1. Field Label as Partner Name, Field Api Name as TM_TOMA__Vendor__c, and Contract Vehicle Api as TM_TOMA__Account_Name__c.

    2. Field Label as Our Contract, Field Api Name as TM_TOMA__Contract_Vehicle__c, and Contract Vehicle Api as Id.

    3. Field Label as Agreement Admin, Field Api Name as TM_TOMA__Assigned_Admin__c, and Contract Vehicle Api as OwnerId.

    4. Field Label as Start Date, Field Api Name as TM_TOMA__Start_Date__c, and Contract Vehicle Api as TM_TOMA__Base_Period_Start_Date__c.

    5. Field Label as Est Total Contract Value, Field Api Name as TM_TOMA__Est_Total_Contract_Value__c, and Contract Vehicle Api as TM_TOMA__Contract_Amount__c.

    6. Field Label as End Date, Field Api Name as TM_TOMA__End_Date__c, and Contract Vehicle Api as TM_TOMA__Option_Years_End_Date__c.

    7. Field Label as Description, Field Api Name as TM_TOMA__Description__c, and Contract Vehicle Api as TM_TOMA__Description__c.
      All the fields are added.

  8. Click Save.

  9. Click Set Follow-up Interval.

  10. Set Internal Review as 1, External Review and Signatory as 3 for the Contract Record Type, and click Save.
