Contracts Hygiene User Guide

Introduction

TechnoMile's Hygiene feature guarantees that your Contract objects maintain a minimum number of related records, as defined by your organization. This ensures data integrity and prevents inconsistencies in your Contracts data.

Audience

Prerequisites

Ensure that TechnoMile's Contracts Suite is installed and configured. The version of this package must be 2024.3 or higher.

IMPORTANT

  • This guide demonstrates the Hygiene feature for the Our Contracts object. You can apply similar steps to other objects such as Subcontracts, Agreements, and others.

Hygiene for Contracts Object

  1. In your Contracts application, go to the Our Contracts list page.

  2. Click New, specify the required fields, and click Save As Draft. The Our Contract record is created.

  3. Go to the Related tab.
    The Our Contract Hygiene section indicates the required related objects for the Our Contracts record. In this case, the Contract record must have Contract Partner and Internal POC records linked to it.
    The cross mark (X) against Contract Partner indicates that the required number of Contract Partner records are not currently linked to the Our Contract record. The tick (✓) mark against Internal POC indicates that the hygiene requirement for minimum number of linked Internal POC records for the Our Contract record is met.

  4. Click Contract Partners.

  5. Click New in the Contract Partners section and create a Contract Partner.

  6. After the Contract Partner record is created, go to the Our Contract record and check the hygiene status.
    The tick mark against Contract Partner indicates that the Our Contract record meets the hygiene requirements for the minimum number of related Contract Partner records.
    Notes:

    • The types of related objects and the minimum required threshold for each related object depend on the settings made by the administrator for your instance. For example, 2 related objects are required to maintain the hygiene of the Clause record below. The minimum threshold for each object is also defined by your administrator settings.

    • The Hygiene feature is available on all objects in your Salesforce application.
