SharePoint front-end re-design changes and success message on creating a folder.

The TechnoMile Growth Suite includes a SharePoint connector as a robust tool for integrated document management.

The screenshots and feature descriptions in this article are representative of the out-of-the-box capabilities of Growth and may differ from what you have available based on your company's unique implementation. Additionally, some features may be located in slightly different locations on the page.

Accessing the SharePoint Connector

  1. In your TechnoMile Growth Suite, navigate to an Opportunity Record.

  2. Go to the SharePoint tab.
     

    NOTE

    You may have to click More to view the SharePoint tab, depending on how many tabs your organization has implemented on the Opportunity record page.

SharePoint Connector Navigation

The SharePoint tab displays related information within your TechnoMile Growth Suite Opportunity record.

  • SharePoint Opportunity Folder Structure: Each Opportunity is represented by a root folder on a specified SharePoint site. The folder structure represents the sub-folders within the Opportunity root folder. Each Opportunity has a pre-defined folder structure created for it when it is linked to SharePoint.

  • SharePoint URL: This URL is your direct link to the SharePoint folder on your SharePoint site.

  • Action Icons: Use the action icons to create a new folder, upload a file, or refresh the view.

    • Upload File: Upload a file to one of the folders in SharePoint. You can upload from your computer or use a file from within the Growth Suite.

    • New Folder: Create a new folder in SharePoint.

    • Refresh Tree: Click this button to refresh the Current View. This is helpful to view the updated folder tree structure after you have uploaded a file.

  • Current View: The right pane always displays the current folder, including sub-folders or documents located in that folder.

Downloading Files from SharePoint

Documents are stored in SharePoint and so you cannot download a document directly from the SharePoint Connector page.

  1. In the Current View section on the SharePoint tab of the Opportunity record, locate the desired file.

  2. Click the file hyperlink. A new browser tab displays the file content on your company's SharePoint site.

  3. Use the SharePoint interface to download or check out the file, as your permissions allow.

Manually Creating a SharePoint Folder

You can manually add a SharePoint folder to an Opportunity. The new folder created will be a sub-folder of the selected folder.

  1. In the folder structure section on the SharePoint tab of the Opportunity record, click the desired parent folder.
    The currently selected folder is highlighted with a blue outline as shown in the example below. 

  2. Click New Folder.

  3. Enter a descriptive Folder Name and click CreateThe new folder is created and a confirmation message displays. 

  4. Click the Refresh Tree button to refresh the folder tree structure in the left pane and view the newly created folder.
    Example: If you select the root Opportunity folder and click New Folder, the new folder is nested within the root folder. If you select the Taskorder folder instead, the new folder is created within the Taskorder folder. 

Uploading a File to SharePoint

You can use one of the following options to upload files to SharePoint.

Upload Files

The Upload File button allows you to upload a file from your computer.

  1. From the folder structure section on the SharePoint tab of the Opportunity record, click the desired parent folder.

  2. Click Upload File and then click Upload Files

  3. In the POP up window, navigate to the desired file and click OpenThe Upload Files window displays the upload status.

  4. Click Done when the upload is completed. 

  5. Click Upload to upload the files to SharePoint.

  6. Enter a comment about the file in the Check-in Comment field.

  7. Click Discard to remove the files. 

Upload from Existing Files

The Upload from existing files from Notes and Attachments of current record toggle allows you to upload any file currently associated with the Opportunity record in your Growth Suite. This is useful for files ingested from a Task Order Notice, , or a Gate Review Briefing that was generated from Growth.

  1. From the folder structure section on the SharePoint tab of the Opportunity record, click the desired parent folder.

  2. In the right view pane, turn on the toggle for Upload from existing files from Notes and Attachments of current record.

  3. Specify the Checkin Comments and click Upload for one or more files listed. A message displays on your screen to indicate the status.  

  4. Click the Refresh Tree button to refresh the list.
    The new file displays below the folders.
