Transform Copilot for Pre-Award Configuration Guide

Transform Copilot for Pre-Award streamlines the process of importing and extracting data from solicitation documents, reducing manual data entry and ensuring consistency across pre-award and post-award workflows. The tool provides an intuitive interface for uploading solicitation files, reviewing extracted information, and creating Solicitation records.

Prerequisites

Assign Permission Set

Assign Permissions to Pre-Award Users

To assign the required permissions to Pre-Award users:

  1. Go to Users using Setup search.5-1.png

  2. Select the user to whom you want to assign the permissions.

  3. Go to Permission Set Assignments and click Edit Assignments.5-2.png

  4. Select and move Pre Award Full Access from Available Permission Sets to Enabled Permission Sets using the Add arrow button.5-3.png

  5. Click Save.

Assign Permissions to Integration User

To assign the required permissions to integration users:

  1. Go to Users using Setup search.

  2. Select the integration user to whom you want to assign the permissions.

  3. Go to Permission Set Assignments and click Edit Assignments.5-2.png

  4. Select and move GovSearchAI OOB Integration User Permissions from Available Permission Sets to Enabled Permission Sets using the Add arrow button.5-4.png

  5. If you use Contracts Suite, select and move Contracts Pre Award Full Access from Available Permission Sets to Enabled Permission Sets using the Add arrow button. Otherwise, you may skip this step.3-4.png

  6. Click Save.

Configure Solicitation Page

Add Ingest Solicitation (TC) Button to List View

To add the Ingest Solicitation (TC) button:

  1. Go to Setup Object Manager.

  2. Locate and open Solicitation.

  3. Select List View Button Layout and click Edit against List View.5-5.png

  4. Move Ingest Solicitation (TC) from Available Buttons to Selected Buttons using the Add arrow button, and click Save.5-6.png

To validate that the Ingest Solicitation (TC) button is added successfully:

  1. Go to Solicitations using the App Launcher.

  2. The Ingest Solicitation (TC) button appears in the upper-right corner, as shown in the image below.9-16.png

Add Buttons to Solicitation Page Layout

NOTE

The page layout that needs to be configured depends on your organization’s setup:

  • Select Solicitation Layout if you are a Pre-Award only customer.

  • Select Solicitation with Contracts if you use Pre-Award with Contracts.

  • If you use custom layouts, select the appropriate layout as per your configuration.

To add the Update Solicitation (TC) and Ingest Amendment (TC) buttons to the Solicitation page layout:

  1. Go to Setup Object Manager.

  2. Locate and open Solicitation.

  3. Go to Page Layouts and select the appropriate layout based on your configuration.

  4. Select Mobile & Lightning Actions.5-9.png

  5. Drag and drop the Update Solicitation (TC) and Ingest Amendment (TC) buttons under Salesforce Mobile and Lightning Experience Actions.5-8.png

  6. Click Save

Add AI Summary Section on Custom Solicitation Page Layout

NOTE

The configuration mentioned in this section is intended for customers using custom page layouts. If you are using TechnoMile's Out-of-the-box (OOTB) page layouts, ignore the following steps. 

To manually add the AI Summary section:

  1. Go to Solicitations using the App Launcher.18-7.png

  2. Open a Solicitation record.

  3. Click the gear icon and select Edit Page.9-2.pngThe Lightning App Builder opens.

  4. Locate the TM_TC_SolicitationSummaryWidgetCmp component in the left pane and drag and drop it onto the Solicitation page.

  5. Click Save.

  6. Click Activate.15-7.png

  7. Click Assign as Org Default.

  8. Choose Desktop, then click Next.20-1.png

Configure Solicitation Amendment Page

Add Summary Section on Custom Page Layout

NOTE

The configuration mentioned in this section is intended for customers using custom page layouts. If you are using TechnoMile's Out-of-the-box (OOTB) page layouts, ignore the following steps. 

To add the AI Summary section on the Solicitation Amendment page:

  1. Go to Setup Object Manager.

  2. Locate and open Solicitation Amendment.

  3. Navigate to Lightning Record Pages and select the appropriate custom record page.20-9.png

  4. Click Edit.18-12.pngThe Lightning App Builder opens.

  5. Locate the TM_TC_SolAmendmentSummaryWidgetCmp component in the left pane and drag and drop it onto the Solicitation Amendment page.18-14.png

  6. Select the newly added component and click Add Filter.18-15.png

  7. Select the Field as Transform Copilot Amendment.

  8. Set the Operator to Equal and Value to True, then click Done.18-16.png

  9. Click Save.

  10. Click Activate.15-7.png

  11. Click Assign as Org Default.18-17.png

  12. Choose Desktop, then click Next.20-1.png

Configure Proposal Page

NOTE

The Proposal record page that needs to be configured depends on your organization’s setup:

  • Select Proposal Record Page if you are a Pre-Award only customer. 

  • Select Proposal w/ Contracts Record Page if you use Pre-Award with Contracts.

  • If you use custom page layouts, select the appropriate layout as per your configuration.

Add Buttons and AI Summary Section to Proposal Record Page

To configure the Proposal record page:

  1. Go to Setup Object Manager.

  2. Locate and open Proposal

  3. Navigate to Lightning Record Pages, then select the appropriate record page, based on your organization’s configuration.20-8.png

    NOTE

    • If you are using the standard Proposal Record Page, the Update Solicitation (TC) and Ingest Amendment (TC) buttons are available out-of-the-box (OOTB). In this case, you can skip steps 4 to 9 and proceed directly to step 10. 

    • If you use the Proposal w/ Contracts Record Page or a custom record page, you have to manually add the Update Solicitation (TC) and Ingest Amendment (TC) buttons following the steps below.

  4. Select the highlight panel on the page to reveal the Add Action option in the right pane.9-5.png

  5. Click Add Action.

  6. In the slide out panel that appears:

    1. Select the Actions as Update Solicitation (TC).9-6.png

    2. Click Done.

  7. Click Add Action again.

  8. In the slide out panel that appears:

    1. Select the Actions as Ingest Amendment (TC).9-7.png

    2. Click Done.

  9. Click Save.9-8.png

  10. Locate the TM_TC_SolicitationSummaryWidgetCmp component in the left pane and drag and drop it onto the Proposal page.18-5.png

  11. Click Activate.15-7.png

  12. Click Assign as Org Default.Prop-6.png

  13. Choose Desktop, then click Next.20-1.png

NOTE

If the Solicitation related list is already present on the Opportunity page, follow the steps in this section to add the Ingest Solicitation (TC) button to the related list. If the Solicitation related list is not present, ignore the following steps.

To add the Ingest Solicitation (TC) button to the Solicitation related list:

  1. Go to Setup Object Manager.

  2. Locate and open Opportunity

  3. Select Page Layouts > Opportunity layout.20-5.png

  4. Locate the Solicitation related list and click the gear icon.20-6.png

  5. Expand the Buttons section.

  6. Move Ingest Solicitation (TC) from Available Buttons to Selected Buttons using the Add arrow and click OK.9-13.png

  7. Click Save.20-7.png

To validate that the Ingest Solicitation (TC) button is added successfully on the Opportunity record page:

  1. Go to Opportunities using the App Launcher

  2. Open an Opportunity record.

  3. Scroll down to view the Ingest Solicitation (TC) button in the Solicitation related list.18-2.png
