Configure Document Storage for Uploaded Documents

Prev Next

This feature allows you to upload a document using Transform Copilot and save it to the relevant record and file repository, eliminating the need for multiple uploads. Depending on the upload process, the document is saved to a new record or its parent record.

This document outlines the procedure for administrators to configure the default state of the save option and specify the folder structure where documents are stored for each upload process.

To navigate to the Mila Settings page on the TechnoMile portal:

  1. Go to the TM TechnoMile portal and click I Agree.

Manage Storage Location Configurations

Administrators can add, edit, and delete storage location configurations in Mila Settings.

Add a Storage Location

NOTE

Before configuring a storage location, ensure the SharePoint site, document library, and required folder structure are configured. Refer to SharePoint - Configuration Guide (Microsoft Dynamics) or SharePoint - Configuration Guide (Salesforce) for detailed instructions.

Configure the Storage Location, Process, and Folder Location in Mila Settings to align with your organization’s existing document storage structure. The folder locations and paths shown below are examples and may vary depending on your configuration.

To add a storage location:

  1. In Mila Settings, click Add Folder Location.

  2. Select the Storage Location.

  4. Enter the storage path based on your organization’s configured folder structure.

    NOTE

Folder Location is configured differently for Salesforce and Microsoft Dynamics. Microsoft Dynamics uses admin configured SharePoint folder paths, whereas Salesforce uses the default storage location associated with the relevant entity.
    For example:

    • In Microsoft Dynamics, a folder location may be structured as follows:
      https://abc.sharepoint.com/teams/TestClassicSite/new_contractvehicles/{Contract.Name}/03 Contract Mods
This path identifies the SharePoint site, document library, and contract-specific folder.

    • In Salesforce, documents are saved directly to the default storage location associated with the relevant Salesforce record, such as a {$Contract.Id} or {$Solicitation.Id}.

On the Mila Settings page, click Export to download the storage location configuration as a CSV file. The exported file contains the configured storage location details and can be imported into another environment using the Import option.

  • Enable the Delete agreement documents from Mila when they have been deleted in the CRM checkbox to ensure that agreement documents deleted from the CRM are also deleted in Mila.
