AI Agents User Guide

The AI Agents for Contracts feature introduces specialized AI agents designed to automate routine contract management tasks within the TechnoMile Contracts suite. These agents analyze contract data, generate actionable insights, and automatically create structured records within the Contract Lifecycle Management (CLM) system. Each agent is purpose-built to support a specific contract workflow, ensuring focused and efficient execution.

Executive Summary Agent

The Executive Summary Agent analyzes activity across all contracts in the CLM system and automatically generates a concise executive-level report summarizing recent contract activity and upcoming priorities. The agent reviews contract records to identify key operational metrics, critical actions, and potential risk indicators that require attention.

NOTE

The Executive Summary Agent spans all contracts in the system and does not take user security roles into account. It includes every contract, regardless of whether the user has access permissions.

Generate Executive Summary Report

It is recommended that you generate this report weekly, ideally at the start or end of the week, to maximize workflow efficiency.

To generate the executive summary report:

  1. On the Contracts Suite Home page, scroll to the AI Generated Weekly Executive Summary section and click Generate Report.

Report Contents

The Executive Summary provides a consolidated view of contract activity, risks, and required actions on a weekly basis.

The executive report includes two main sections: 

  1. Activity Metrics Summary
    This section highlights key contract-related activities for the week. It includes:

    • New Contracts Created

    • Contracts Modified

    • Contracts Closed Out

    • Opportunities Advanced

    • Agreements Executed

    • Proposals Submitted

  2. Potential Risks and Action Items
    This section identifies items that require attention. Each subsection includes specific records and a clear action item.

    • New Contracts Pending Initial Review & Approval: Lists contracts awaiting initial reviews.

    • Open Contract Modifications Pending Final Approval: Lists contract modifications that are awaiting final approval.

    • Limitation of Funds (LOF) Requests: Lists pending LOF requests.

    • Adverse Action Flags: Identifies contracts that have been formally flagged due to various issues.

    • Contracts Approaching End of Performance: Lists contracts that are nearing the end of their performance period.

    • Stalled Closeouts (>120 Days): Lists contracts that have been awaiting closeout for over 120 days.

Electronic Contract Agent

Organizations often receive task orders or delivery orders as structured documents such as spreadsheets or formatted PDFs. Manually entering this information into a contract is time-consuming. The Electronic Contract Agent automates this process. The agent automatically converts structured electronic contract documents into fully populated contract records in the CLM system.

The Electronic Contract Agent extracts and populates contract elements such as:

  • CLIN/SLINs

  • Periods of Performance (POPs)

  • Deliverables

Ingest Structured Document

To ingest a structured electronic document:

  1. Go to Our Contracts using the App Launcher.

  2. Click Electronic Contracts.23-3.png

  3. Drag-and-drop the document (PDF file) into the file upload window, or click Upload Files to select a document.23-4.png

  4. Click Done.23-5.png

  5. Click Process Document.23-6.png

  6. Click View Contract to open the newly created Contract record.23-8.png

CDRL-to-Deliverable Agent

The CDRL-to-Deliverable Agent converts structured contract reporting requirements into trackable deliverables within the CLM system.

Government contracts often contain Contract Data Requirements Lists (CDRLs) that specify reports, data sets, or documentation a contractor must submit throughout the contract lifecycle. The AI Agent converts those reporting requirements into structured deliverable records.

Generate Deliverables

To create a CDRL record, refer to the CDRLs User Guide.

Once a CDRL record is created, it includes line items but may not automatically generate deliverables. The AI Agent identifies CDRLs that lack associated deliverables and prompts you with an option to auto-generate them.

To auto-generate deliverables:

  1. Open the Contract record where the CDRL has been uploaded and click CDRL.24-5.png

  2. Select the uploaded CDRL record.24-6.pngYou will see the Generate Deliverables prompt if the agent has identified deliverables in the uploaded CDRL.

  3. Click Generate Deliverables.24-7.png

  4. On successful creation, click View all deliverables here.24-3.pngThe CDRL record opens.

  5. Navigate to the Related tab and scroll down to view the Deliverables section.24-8.pngThe newly created deliverables will be listed here.
