Clause Library Maintenance Guide

Overview

TechnoMile's Contracts Suite Clause Library maintenance feature provides you with a variety of options to update the Clauses present in your Salesforce Clause Library.

• Contracts Suite Users

Prerequisites

• Ensure that Contracts Suite - Sales Cloud Edition is already installed and configured. The version of this package must be 2025.2 or higher.

Benefits and Features

• Enables you to check a Clause for updates and review the Clause match percentage with the help of a color-coded system that helps you to quickly assess the differences between a Clause in your Salesforce Clause Library and a corresponding Clause in the TechnoMile Clause Repository.

• Enables you to create a new version of a Clause in case the match percentage is not 100%.

• Allows you to quickly create multiple versions of Clauses simultaneously from the TechnoMile Clause Repository into your Salesforce Clause Library by clicking the Mass Update button.

Clause Library Maintenance

Check a Clause for Updates

1. Navigate to a Clause record page using App Launcher.

2. Click Check for Updates.
   Update Clause window opens that displays the current match percentage, which is calculated based on the comparison of field values between your Salesforce Clause Library and the TechnoMile Clause Repository.

   Here, the match percentage denotes that the data is currently 80% matched.

   Additionally, you can also view the following colors and match percentages while updating a Clause:

   • Red - denotes that Clause data is between 0%-50% matched

   • Amber - denotes that Clause data is between 51%-99% matched

   • Green - denotes that Clause data is 100% matched

   IMPORTANT

   For match percentage calculation, only the Clause Type, Description, Revision Date, Subcontracts Flowdown, and Clause Summary fields are considered.

3. Click Update.

   

   NOTE

   You can also choose to click Close. In this case, the Clause in your Salesforce Clause Library is not updated.

4. Click OK.
   A new version of the Clause is created and its Details page opens.

   NOTE

   Here, if you click Check for Updates again, you will see a green 100% match, along with a disabled Update button.

   

   

   IMPORTANT

   If you perform the same action on any other version of this Clause, the latest version of the Clause record available in your Salesforce Clause Library is compared to the corresponding Clause present in the TechnoMile Clause Repository and the result displays accordingly, such as in this case, it is a green 100% match.

   Also, if a Clause is being checked for updates that is not present in the TechnoMile Clause Repository, then the following message will display.

   

Mass Update Clauses

1. Navigate to Clauses using App Launcher and click Mass Update.
   

2. Select a Clause Type, enter a Clause Revision Date, and click Next.
   

   NOTE

   The Select Clause Type field is mandatory and the value entered in the Clause Revision Date field excludes all the Clauses with a revision date earlier than the entered date.

   You can then, view all the Clause data that matches the specified information in the Mass Update Clause window. You can also click Update All to update all the Clauses present in your Salesforce Clause Library.

   

   IMPORTANT

   If none of the Clauses are selected and the Update All button is clicked, then all the Clauses will have their new versions created that are already present in your Salesforce Clause Library.

   Additionally, you can perform the following actions in this window:

   1. Display a particular selected number of Clause entries.

   2. Select a checkbox for updating a specific Clause.

   3. Navigate to other Clause data pages using the pagination feature provided at the bottom of the window.

   4. Post selecting Clauses, click Update.

      Here, only the selected Clauses (three records, in this case) will have their new versions created.

3. Click OK.
   

   NOTE

   This process runs in the background and your system administrator receives an email containing all the details of this process, once it is completed.

   

Automated Jobs to Refresh your Salesforce Clause Library (Clause Library Batch Updates)

There are automated jobs to refresh your Salesforce Clause Library that enable the automatic fetching of Clauses data from the TechnoMile Clause Repository into your Salesforce Clause Library, as per the specified time interval.

NOTE

This feature is executed through a scheduled Apex Class that can be configured by your system administrator as shown in the image below.

IMPORTANT

This process checks and then creates new versions of all the Clauses in your Salesforce Clause Library that do not match 100% with their corresponding Clauses in the TechnoMile Clause Repository.

It creates new Clause records for all the Clauses that are not present in your Salesforce Clause Library from the TechnoMile Clause Repository.

Once the automated job to refresh your Salesforce Clause Library is completed, your system administrator receives an email containing all the details of the recently completed process.
