eBuy - Create a Shared Mailbox

In order to utilize TechnoMile's eBuy there are a handful of steps that need to be taken on the Client's side.

This guide assumes no special configurations have been done on the Microsoft Exchange platform prior to starting this configuration. If special configurations have been done, additional steps might be required.

The end goal of this guide is to setup a shared mailbox that has an auto-forwarding rule that allows emails to be sent externally to a TechnoMile provided email.

  1. Create a Shared Mailbox

  2. Setup an Auto-forwarding Rule to a TechnoMile email

  3. Create an Anti-spam rule to allow for auto-forwarding

Before starting this guide please make sure you have received the designated TechnoMile email from your Customer Success Representative. Typically this email will be in the following format: ebuy.[client]@technomile.com

Creating a Shared Mailbox

  1. Go to: https://admin.exchange.microsoft.com/#/mailboxes

  2. Select 'Add a shared mailbox' 

  3. This will POP up a screen to add a Shared Mailbox 

  4. Display Name: 'TechnoMile eBuy'

  5. Email Address: eBuy

  6. alias: leave blank

  7. Select Domain should be your standard email domain

  8. Click Create

Create Forwarding Rule

Next we will create a forwarding rule for the inbox we just created

  1. Select the newly created mailbox from your mailbox list by clicking on the display name for the Inbox

  2. a popup on the right side should appear for that mailbox
     

  3. Select 'Email Forwarding'

  4. First turn on the 'Forward all emails sent to this mailbox'

  5. Next select 'Forward to an external email address'

  6. Put in the email provided to you by your csm into the box underneath this radio button
     

  7. Select 'Deliver message to both forwarding address and mailbox'

  8. Click Save

Create Anti-Spam Policy

In order to insure emails get auto-forwarded to an external email address you will need to create an Anti-Spam policy

  1. Go to https://security.microsoft.com/antispam

  2. Select 'Create Policy' and select 'outbound'

  3. Name this policy something that makes sense to you e.g. 'TechnoMile eBuy forwarding'

  4. Click Next

  5. In the users section, add the shared mailbox that we created in the first section of this guide 

  6. Click Next

  7. On the Protection settings screen, leave all of the settings as they are (pictured below) except the 'Automatic Forwarding rules' which should be changed to 'On - Forwarding is enabled' 

  8. Click Next

  9. Review the rule and click 'Create'
