Tagging Users Configuration Guide

Overview

The Tagging feature enables users to collaborate directly within Microsoft Dynamics 365 by mentioning other users in Timeline notes using the @mention capability. With this feature enabled, users can notify team members directly from a note, and the tagged user receives an in-app notification with access to the associated record. Tagging helps to improve cross-team collaboration without requiring users to create separate tasks or activities.

This guide describes how to configure the environment, application, and Timeline settings required to enable the Tagging Users feature in TechnoMile Contract and TechnoMile Growth.

Prerequisites

Ensure that:

  • TechnoMile's Contract and/or Growth Suite is already installed and configured. The version of this package must be 2026.1 or higher.

  • You have Power Platform Administrator or Global Administrator permissions.

  • You have System Administrator permissions within Dynamics 365.

Note

This guide applies to both TechnoMile Growth and TechnoMile Contract. The examples in this guide use TechnoMile Contract.

Enabling Activity Support for a Table

Activity support must be enabled on the target table to allow activity records such as Notes, tasks, and emails. Tables that support activities can use Timeline-based features and display activity records through the Timeline control. Follow these steps to enable activity support for the target table.

  1. Sign in to Power Apps.

  2. Select Tables.

  3. Select the target table.

  4. Click Properties.

  5. Expand Advanced Options.

  6. Scroll down and select Creating a new activity.

    Note

    Creating a new activity option is available only for tables that support activities. If the option is unavailable, verify that the table supports activity-based records.

  7. Click Save.

    The selected table can now support activity records and Timeline-based collaboration features.

Enabling In-App Notifications

Enable in-app notifications at the environment level to support user mentions in rich text editors. This configuration allows Dynamics 365 to generate notifications when users are mentioned in supported components such as Timeline Notes.

  1. Open the Power Platform Admin centre and select Manage.

  2. Select the target environment and then select Settings.

  3. Expand Product and then select Collaboration.

  4. Scroll down and enable @mention people when in rich text editors to add and notify users.

  5. Click   Save.

    Note

    The environment is configured to support user mentions in rich text editors.

Enabling In-App Notifications for TechnoMile Applications

After you enable in-app notifications in the environment, configure the TechnoMile application to display notification alerts. This setting allows users to receive notifications generated by user mentions within the application.

  1. In the Power Apps Portal, select Apps.

  2. In the app list, locate TechnoMile Contract.

  3. Select Edit next to the application name.

  4. In the App Designer, select Settings.

  5. Select the Features tab.

  6. Under In-app notifications, set the toggle to ON.

  7. Select Save.

Adding Timeline to Objects

The Timeline control enables users to create Notes and use the @mention feature for collaboration. Only entities that support activities can use Timeline-based communication. Follow these steps to add the Timeline control to a form if it is not already available.

  1. In the Power Apps Portal, navigate to Tables.

  2. Select the Contract table.

  3. On the Contract page, click Forms.

  4. Select the Contract form to open the Form Designer.

  5. Select the section of the form where you want to add the Timeline control.

  6. From the Components tab, drag the Timeline control onto the form.

  7. In the Activity types pane, select the activity types that you want to display in the Timeline.

    Note

    Ensure that Notes is selected in the activity types list. Users cannot use the @mention feature if Notes are not available in the Timeline.

  8. Click Save and Publish.

Tagging Users in Timeline Notes

After the configuration is complete, users can collaborate directly within Timeline Notes by mentioning other Dynamics 365 users. When a user enters the @ symbol, Dynamics 365 displays a list of available users. Selecting a user creates a mention and generates an in-app notification for the tagged user.

  1. Login to your TechnoMile Contract application on Microsoft Dynamics.

  2. Open a Contract record and navigate to Activities.

  3. In the Timeline, click to start adding the note.

  4. In the note, enter @ and then select the user that you want to mention.

  5. Click Add note and close.

    Note

    Only users who have access to the Dynamics 365 environment appear in the mention list.
