Configure Cloned Flow API Name in OCI Email Setting

Overview

TechnoMile’s Organizational Conflict of Interest or OCI feature enables you to create OCIs along with a review and an approval process.

This document is a step-by-step guide on how you can configure the OCI feature in your organization.

Audience

  • Salesforce Administrators

  • IT Support

Prerequisites

  • Ensure that Contracts Suite - Sales Cloud Edition is already installed and configured. The version of this package must be 2025.3 or higher.

Assign Permission Sets

  1. Click the gear icon and select Setup.

  2. Go to Permission Sets using Setup search.

  3. Scroll down and open the Contracts Suite Admin Permission Set.

  4. Click Manage Assignments.

  5. Click Add Assignment.

  6. Select your Admin user and click Next.

  7. Click Assign.
    The Permission Set is assigned to the selected Admin user.

  8. Click Done.

  9. Similarly, assign the Contracts Full Access and Contracts & Subcontracts Read Only Permission Set to your user(s).

Configure Custom Settings

Deactivate GRC Triggers

NOTE

Perform the below mentioned steps ONLY if you do not wish to use the OCI Triggers that are available in this package, by default.

  1. Go to Custom Settings using Setup search.

  2. Click Manage against GRC Trigger.mceclip0.png

  3. Click New.

  4. Enter Name as TM_OCI_UpdateTrigger, select the Deactivate checkbox, and click Save.

  5. Similarly, create another Trigger with Name as TM_OCI_TeamMemberTrigger and deactivate it .

Customize OCI Email Templates

  1. Go to Classic Email Templates using Setup search.

  2. Click to open any of the three OCI Email Templates that you wish to customize, as highlighted in the image below.

  3. Click Edit HTML Version.

  4. Select Field Type as OCI Fields and Field, copy and paste Merge Field Value into HTML Body, and click Save.

  5. Click Edit Text Version.

  6. Select Field Type as OCI Fields and Field, copy and paste Merge Field Value into Text Body, and click Save.
    mceclip16.pngSimilarly, you can edit other OCI Email Templates as per your requirements, by performing the same steps as shown above.

Edit Our Contract Page Layout

  1. Go to Our Contract Object Manager.

  2. Go to Page Layouts and select a Page Layout that you wish to Edit.

  3. Go to Mobile & Lightning Actions, drag-and-drop Initiate OCI into the Salesforce Mobile and Lightning Experience Actions section, and click Save.
    The button is added.

Edit Opportunity Page Layout

  1. Go to a Page Layout of your choice for the Opportunity object.

  2. Add the Initiate OCI button onto it by performing the same steps as shown above.

Map OCI Fields to Opportunity Fields

  1. Go to OCI Mapping Page using App Launcher.

  2. Select an Object such as Opportunity and click Go.

  3. Drag-and-drop both OCI Fields and Opportunity Fields to map them with each other and click Save.

  4. Click Ok.

Edit OCI Record Page

  1. Go to OCIs using App Launcher.

  2. Click to open an OCI record.

  3. Click the gear icon and select Edit Page.

  4. Go to Fields and drag-and-drop the Field Section onto the page.
    Here, you can also choose to rename a Section Label or choose number of Columns in it.

  5. Scroll down and drag-and-drop OCI Status field into the newly created Field Section.
    Here, you can also choose to specify UI Behavior of the field or add a Filter for it as shown below.

  6. Click Save.

  7. Click Activate.

  8. Click Assign as Org Default.

  9. Choose Desktop and click Next.

  10. Click Save.

  11. Click the Back arrow icon.

Activate Flow

  1. Go to Flows using Setup search.

  2. Open the OCI Email alert flow.

  3. Click Activate.

Clone Flow

Important Note: The steps in this topic and the next that are related to a cloned flow are to be performed only if you wish to customize the email templates within the TM_ConfigureDynamicTemplate out-of-the-box flow. You can choose to customize either or both of the following two email templates:

  • OCI Review Form Email notification that is triggered after clicking the Send for Review button present on an OCI record page. This will send the OCI for review to the selected Reviewers.

  • OCI Approval Process Submit Template notification that is triggered after clicking the Submit for Approval button present on an OCI record page. This will send the OCI for approval to the selected Approvers.

  1. Open the TM_ConfigureDynamicTemplate flow.

  2. Click Save As New Version and select Save As New Flow.

  3. Enter Flow Label and Flow API Name and click Save.
    Cloned flow is created.

  4. Click Activate.
    Cloned flow is activated.

  5. Scroll down to an OCI-related Email Template within the flow and click to open it.

  6. Scroll down to Body of the template and select View as Plain Text.
    You can also edit the Body of the template here, if required.

  7. Click Save.

Configure Cloned Flow API Name in OCI Email Setting

  1. Click the gear icon in the tool bar of the cloned flow.

  2. Copy the Flow API Name field value after text TM_TOMA__.

  3. Go to OCI Mapping Page using App Launcher.

  4. Click Email Setting.

  5. Paste the previously copied Flow API Name into the Flow Name field and click Save.
    Note that after clicking Save, Flow Status is automatically updated to Active.
