Overview

TechnoMile's Revision History feature tracks any changes made to a Contract once it is activated. It allows customers to select which fields they want to monitor, including fields on the Contract detail page and connected features like Sites and Clauses.

The system also tracks which Modification (Mod) was active during changes, locking the Contract from further edits unless either a Mod is created or reopened, ensuring that all the changes are properly documented with corresponding notes and Mod details.

This document is a step-by-step guide on how you can use the Revision History feature on Our Contracts and Subcontracts in your organization.

Audience

  • Contracts Suite Users

Prerequisites

  • Ensure that TechnoMile Contracts Suite is already installed and configured. The version of this package must be 2024.3 or higher.

Revision History on Our Contracts

  1. Navigate to Our Contracts using App Launcher.

  2. Open a Contract record that is in the Draft stage.

  3. Go to INTERNAL POCS and click Add.

  4. Specify USER and choose ROLE as Approver, and click Save

  5. Click OK.

  6. Go to CONTRACT OVERVIEW and click any edit icon.

  7. You can make changes to any of the fields, if required, and click Save And Activate.
    Notes:

    • Fields marked in red are mandatory.

    • Fields with revision history tracking enabled are determined by the configuration set by your Administrator, based on your organization's requirements.

    • When a Contract is saved and activated for the first time, it gets locked, and no entries are recorded in the Contract Audit Histories section.

    • Fields with revision history tracking enabled display a small clock icon (highlighted in the screenshot above), indicating that the field's revision history is tracked and saved in the Contract Audit Histories section, located under Related Lists Quick Links on the Contract record page.

    • Once a Contract is saved and activated, it gets locked. To unlock, you can click Reopen Mod to reopen the latest Modification (Mod) record.
      Reopen Mod reopens the latest Mod, recalls any active approval or resets an approved Mod back to Draft, and unlocks the Contract.

  8. Click Unlock Contract.
    Notes:

    • Unlock Contract creates a new Mod and unlocks the Contract.

    • You can also get to the next step by clicking New Modification on the MOD tab.
      New Modification creates a new Mod and unlocks the Contract.

  9. Specify mandatory details and click Save.
    A new Mod record is created and the Contract is unlocked.

    IMPORTANT

    There can only be one open Contract Mod at a time.

  10. Expand the Contract Unlocked section.
    You can see that the changes are being tracked and tied to the first revision of the Mod record (created in Step 9). You can also click Lock Contract to lock the Contract again.
    Lock Contract closes the current Mod, submits it for approval, and locks the Contract.

  11. Edit the Contract details as shown in Steps 6-7. Note that you can click either Save As Draft and Save And Activate to save the changes.

  12. Go to Contract Audit Histories.
    You can view the list of changed fields, along with their old and new values, as well as the Mod record associated with these changes. Similarly, you can also track the revision history of Start Date, End Date, and Exercised fields in a Period of Performance (POP) record and the Sites field in a Contract Sites record.

  13. Once all the changes have been made to the Contract record, click Lock Contract.

  14. Under Audit Note, provide a summary of the changes made and click OK.
    The Contract is locked and the Mod record is submitted for approval. The Audit Comment is also updated in the Contract Audit Histories section.
    Notes:

    • To unlock the Contract, click Reopen Mod to reopen the latest Mod record.

      • If the Mod record is pending approval, it is recalled from the approval process and reopened.

      • If the Mod record is approved, the following message displays. You can click OK to reopen.

    • If the Contract is unlocked, you can go to the MOD tab, click the edit icon against the open Mod record, update the fields, if required, and then click Save and Submit.
      The Contract is locked and the current Mod record is closed and submitted for approval.

    • A base Mod (MOD 0) is created once a Contract is activated for the first time. If the user reopens the base Mod, the Contract, along with its Clauses, POP, CLIN/SLINs, and Contract Sites, is unlocked without creating any audit records. Also, the Record Status field of the Contract is set to Draft.

Revision History on Subcontracts

Navigate to a Subcontract record page using App Launcher and follow the instructions as shown in the Revision History on Our Contracts section.
