Configure Cloned Flow API Name in Pre Award Setting

Overview

The Pre-award app is designed to manage the entire Pre-award process for both Government and Commercial Contracts. It has detailed workflows on how to use Pre-award to manage Solicitations, Proposals, Negotiations, and TINAs (Truth in Negotiations Act).

This guide lists the steps to be performed for installing and configuring the Pre-award app out-of-the-box in Salesforce in your organization.

Prerequisites

  • Contact TechnoMile Support or email support@technomile.com for the Analytics package installation link, prior to starting your installation.

  • Ensure that the Formstack Documents app is installed and configured.

Installation

  1. Log in to your Salesforce account.

    IMPORTANT

    Ensure that only one instance of your Salesforce account is open in the browser where you want to install this package.

  2. Open the Analytics package installation link in a new tab on the same browser.

  3. Choose Install for Admins Only and click Install.

  4. Click Done.
    The Installed Packages page displays.

  5. Once you receive an email confirmation, refresh the Installed Packages page to view the Analytics package in this list.

Configuration of Pre-award

Create Permission Set

  1. Go to Permission Sets using Setup search.

  2. Click New.

  3. Specify Label and API Name as TM_ExternalPOCs and click Save.

  4. Go to External POCs Object Permissions and click Edit.

  5. Select the Read, Create, Edit, Delete, Read Access, and Edit Access checkboxes and click Save.
    The Permission Set is created.

Assign Permission Sets to Users

  1. Go to Users using Setup search.

  2. Click a Full Name to open a user.

  3. Click Permission Set Assignments.

  4. Click Edit Assignments.

  5. Select and move TM_ExternalPOCs, Pre-Award Full Access or Pre-Award Read Only from Available Permission Sets to Enabled Permission Sets using the Add arrow button and click Save.
    The Permission Sets are assigned.

Create Approval Processes

For Solicitation

  1. Go to Approval Processes using Setup search.

  2. Select Manage Approval Processes For as Solicitation, click the Create New Approval Process, drop-down menu, and select Use Standard Setup Wizard.

  3. Specify the Process Name as Solicitation OOTB Approval and Unique Name as Solicitation_OOTB_Approval and click Next.

  4. Select Field as Solicitation: Status, Operator as equals, and click the Value lookup icon.

  5. Select the New and In Review checkboxes and click Insert Selected.

  6. Click Next.

  7. Choose the Administrators ONLY option and click Next.

  8. Click the Approval Assignment Email Template lookup icon.

  9. Select Proposal Email template and click Solicitation submitted for approval notice.
    The Email Template is selected.

  10. Click Next.

  11. Select to move the following eight fields from Available Fields to Selected Fields using the Add arrow button, select the Display approval history checkbox, choose the Recommended option, and click Next.

  12. Select to move Solicitation Owner and Group: All Internal Users from Available Submitters to Allowed Submitters using the Add arrow button, then select the Allow submitters to recall checkbox, and click Save.

  13. Choose the Take me to the approval detail page option and click Go!


    The Solicitation Approval Process is created.

    NOTE

    • Record Lock under Initial Submission Actions is set to Lock the record from being edited by default.

    • Record Lock under and Final Approval Actions, Final Rejection Actions, and Recall Actions is set to Unlock the record for editing by default.

  14. Click Add Existing in Initial Submission Actions.

  15. Select Choose Action Type as Field Update, then select and move Field Update: Mark In Review from Available Actions to Selected Actions using the Add arrow button, and click Save.

    The Field Update is added.

  16. Similarly in Final Approval Actions, click Add Existing to add Field Update as Mark Bid Approved.

  17. Similarly in Final Rejection Actions, click Add Existing to add Field Update as Mark No Bid.

  18. Scroll up to Approval Steps and click New Approval Step.

  19. Enter Name as Solicitation Initial Approval and Unique Name as Solicitation_Initial_Approval and click Next.

  20. Choose the All records option and click Next.

  21. Choose the Let the submitter option, select The approver's delegate checkbox, and click Save.

  22. Choose the No option and click Go!

  23. Click Activate.

    A confirmation message displays.

  24. Click OK.

    The Solicitation Approval Process is activated.

    For Negotiations

    Similarly, create another Approval Process for Negotiations by performing the same steps as shown above for Solicitation.

    1. Select Manage Approval Processes For as Negotiations, click Create New Approval Process, and select Use Standard Setup Wizard.

    2. Enter Process Name as Negotiation OOTB Simple Approval and Unique Name as Negotiation_OOTB_Simple_Approval and click Next.

    3. Select Field as Negotiation Status, Operator as equals, and click the Value lookup icon.

    4. Select the Draft and In Review checkboxes and click Insert Selected.

    5. Click Next again.

    6. Choose the Administrators ONLY option and click Next.

    7. Click the Approval Assignment Email Template lookup icon. 

    8. Select Proposal Email template and click Negotiation submitted for approval notice.
      The Email Template is selected.

    9. Click Next.

    10. Select to move the following seven fields from Available Fields to Selected Fields using the Add arrow button, select the Display approval history checkbox, choose the Recommended option, and click Next.

    11. Select to move Record Creator and Proposal Owner from Available Submitters to Allowed Submitters using the Add arrow button, then select the Allow submitters to recall checkbox, and click Save.

    12. Choose the Take me to the approval detail page option and click Go!
      The Negotiations Approval Process is created.

      NOTE

      • Record Lock under Initial Submission Actions is set to Lock the record from being edited by default.

      • Record Lock under Final Approval Actions, Final Rejection Actions, and Recall Actions is set to Unlock the record for editing by default.

    13. Click Add Existing in Initial Submission Actions.

    14. Select Choose Action Type as Field Update, then select and move Field Update as Mark Submitted for Approval from Available Actions to Selected Actions using the Add arrow button, and click Save.

    15. Similarly in Final Approval Actions, click Add Existing to add Email Alert as Notify Proposal Owner of Negotiation Approval Status.

    16. Click Edit against Record Lock.

    17. Choose Unlock the record for editing and click Save.

    18. Similarly in Final Rejection Actions, click Add Existing to add Email Alert as Notify Proposal Owner of Negotiation Approval Status.

    19. Similarly in Recall Actions, click Add Existing to add Field Update as Mark In Review.
      The Field Updates and Email Alerts are added.

    20. Scroll up to Approval Steps and click New Approval Step.

    21. Enter Name as Negotiation Approval Step One and Unique Name as Negotiation_Approval_Step_One and click Next.

    22. Choose the All records option and click Next.

    23. Choose the Let the submitter option, select The approver's delegate checkbox, and click Save.

    24. Choose the No option and click Go!

    25. Click Show Actions.

    26. In Approval Actions, click Add Existing.

    27. Select Choose Action Type as Field Update, then select and move Field Update as Mark Approved from Available Actions to Selected Actions using the Add arrow button, and click Save.

    28. Similarly in Rejection Actions, click Add Existing to add Field Update as Mark Rejected.

    29. Click Activate.

    30. Click OK on the confirmation message.
      The Negotiations Approval Process is activated.

For TINA Certification

Similarly, create another Approval Process for TINA Certification by performing the same steps as shown above for Negotiations.

  1. Select Manage Approval Processes For as TINA Certification, click Create New Approval Process, and select Use Standard Setup Wizard.

  2. Enter Process Name as TINA Certification OOTB Simple Approval and Unique Name as TINA Certification_OOTB_Simple_Approval and click Next.

  3. Select Field as TINA Status, Operator as equals, and click the Value lookup icon.

  4. Select the Sweep In Progress and Sweep Completed checkboxes and click Insert Selected.

  5. Click Next again.

  6. Choose the Administrators ONLY option and click Next.

  7. Click the Approval Assignment Email Template lookup icon. 

  8. Select Proposal Email template and click TINA submitted for approval notice.
    The Email Template is selected.

  9. Click Next.

  10. Select to move the following nine fields from Available Fields to Selected Fields using the Add arrow button, then select the Display approval history checkbox, choose the Recommended option, and click Next.

  16. Click Edit against Record Lock.

  17. Choose Unlock the record for editing and click Save.

  18. Similarly in Final Rejection Actions, click Add Existing to add Email Alert as Notify TINA owner of approval status.

  19. Similarly in Recall Actions, click Add Existing to add Field Update as Mark Sweep in Progress.
    The Field Updates and Email Alerts are added.

  20. Scroll up to Approval Steps and click New Approval Step.

  21. Enter Name as TINA Certification Approval Step One and Unique Name as TINA Certification_Approval_Step_One and click Next.

  22. Choose the All records option and click Next.

  23. Choose the Let the submitter option, select The approver's delegate checkbox, and click Save.

  24. Choose the No option and click Go!

  25. Click Show Actions.

  26. In Approval Actions, click Add Existing.

  27. Select Choose Action Type as Field Update, then select and move Field Update as Mark Approved from Available Actions to Selected Actions using the Add arrow button, and click Save.

  28. Similarly in Rejection Actions, click Add Existing to add Field Update as Mark Rejected.

  29. Click Activate.

  30. Click OK on the confirmation message.
    The TINA Certification Approval Process is activated.

Download and Add Template to Formstack Documents

  1. Go to Formstack Documents using App Launcher.

  2. Go to Formstack Settings and click Add a new Object.

  3. Search for and select TINA Certification and click Save.
    The object is added.

  4. Click the View profile icon and select Switch to Salesforce Classic.

  5. Click the All Tabs plus icon.

  6. Scroll down and click Documents.

  7. Select Folder as FedTom Custom Setting Doc and click Go!

  8. Click View to download the TINA Certification Template file.
    Alternatively, you can open this file separately and then click Email Document to send the file to your registered email address.


  9. Click Switch to Lightning Experience.

  10. Go back to Formstack Documents using App Launcher and click New Document.

  11. Enter a Name and click Next.

  12. Click Upload file and then click Choose file.

  13. Select the recently downloaded TINA Certification Template.docx file and click Open.

    The template is uploaded.

  14. Click Done.

  15. Go to the Settings tab, scroll down to choose Active, and click Save & Next.
    Here, you can also select the Save merge data checkbox, if required.

Customize Formstack Mappings

  1. Go to Formstack Mappings and click New Mapping.

  2. Enter a Mapping Name, select Salesforce Object as TINA Certification, choose Formstack Resource as Document, select Document as TINA Certification, and click Save and Next.

  3. Scroll down and select the below highlighted Optional Settings.

    IMPORTANT

    Please ensure that you clear the Run in Test Mode checkbox, once your testing of the mapping is completed and the template is in active use.

  4. Scroll down and click Import, paste the following code into the Insert JSON field, and click Save.

  5. Scroll down again and click the above highlighted Save & Activate button.

  6. Scroll up and copy the below highlighted Mapping ID.

Create Visualforce Page

  1. Create a Visualforce page with a name such as GenerateTINA and paste the following code into it while creating it:

  2. Paste the Mapping ID previously copied that was generated for TINA Certification into this code in between mappingId="a2DGA0000007ksC2AQ"

Create Button and Add to Page Layout

  1. Click the gear icon and select Setup.

  2. Go to TINA Certification Object Manager, then go to Buttons, Links, and Actions, and click New Button or Link.

  3. Enter Label as Generate TINA and Name as Generate_TINA, choose Detail Page Button, select Content Source as Visualforce Page, and click Save.

    The button is created.

  4. In TINA Certification Object Manager, go to Page Layouts and open your currently assigned page layout such as TINA Certification Layout.

  5. Go to Buttons, drag-and-drop Generate TINA into the Custom Buttons section, and click Save.
    The button is added.

Configure Access to Reports and Dashboards

  1. Go to Reports using App Launcher, then go to All Folders, click the drop-down arrow against Pre-Award Reports, and select Share.

  2. Select Share With as Public GroupsNames as All Internal Users, and Access as View, click Share, and then click Done.

    The Reports access is configured.

  3. Similarly, go to Dashboards, then go to All Folders, click the drop-down arrow against Pre-Award Dashboards, and select Share.

  4. Select Share With as Public Groups, Names as All Internal Users, and Access as View, click Share, and then click Done.

    The Dashboards access is configured.

Configuration of Pre-award with Contracts

Prerequisites

  • Ensure that TechnoMile's Contracts Suite is already installed and configured. The version of this package must be 2024.3 or higher.

Add Permission Sets to Permission Set Groups

  1. Go to Permission Set Groups using Setup search.

  2. Open the Contract Manager Permission Set Group.

  3. Click Permission Sets in Group.

  4. Click Add Permission Set.

  5. Select the Contracts Pre-Award Full Access or Contracts Pre-Award Read Only and TM_ExternalPOCs checkboxes and click Add.

  6. Click Done.

    The Permission Sets are added.

Activate Flow

  1. Go to Flows using Setup search.

  2. Open the Create Proposal Clauses As Parent Contract Change flow.

  3. Click Activate.

    The flow is activated.

Clone Flow

IMPORTANT

The steps in this topic and the next that are related to a cloned flow are to be performed only if you wish to customize the email templates within the TM_Analytics_DynamicTemplateDetails out-of-the-box flow. You can choose to customize either or both of the following two email templates:

  • Pre-Award OOB Proposal Review Form Email notification that is triggered after clicking the Send for Review button present on a Proposal record page. This will send the Proposal for review to the selected Reviewers.

  • Pre-Award OOB Proposal Approval Process Submit Template notification that is triggered after clicking the Submit for Approval button present on a Proposal record page. This will send the Proposal for approval to the selected Approvers.

  1. Open the TM_Analytics_DynamicTemplateDetails flow.

  2. Click Save As New Version and select Save As New Flow

  3. Enter Flow Label and Flow API Name and click SaveCloned flow is created.

  4. Click ActivateCloned flow is activated.

  5. Scroll down to an Email Template within the flow and click to open it. 

  6. Scroll down to Body of the template and select View as Plain Text.
    You can also edit the Body of the template here, if required. 

  7. Click Save

Configure Cloned Flow API Name in Pre Award Setting

  1. Click the gear icon in the tool bar of the cloned flow.
     

  2. Copy the Flow API Name field value after text TM_Analytics__

  3. Go to Analytics Configuration Page using App Launcher.

  4. Scroll down to Pre Award Setting and click its gear icon. 

  5. Paste the previously copied Flow API Name into the Proposal Email Template Flow field and click Save.
     Note that after clicking Save, Status is automatically updated to Active

Assign Page Layouts

  1. Go to TINA Certification Object Manager, then go to Page Layouts, and click Page Layout Assignment.

  2. Click Edit Assignment.

  3. Select the Page Layout column, then select Page Layout To Use as TINA with Contracts, and click Save.

  4. Similarly, assign Solicitation with Contracts as Page Layout To Use for the Solicitation object.

  5. Next, assign Proposal with Contracts as Page Layout To Use for the Proposal object.

    The Page Layouts are assigned.

Add SharePoint Tab to Proposal Record Page

This section outlines two procedures for configuring Proposals lightning record page layout:

Add SharePoint Tab (Pre-Award only)

To add SharePoint tab to the Proposal record page:

  1. Go to Proposals using the App Launcher.

  2. Open a proposal record.

  3. Click the gear icon and select Edit Page.

  4. Select any tab on the page to reveal the Add Tab option in the right pane.

  6. Click the newly added Details tab.

  7. In the slide out panel that appears:

    1. Select the Tab Label as Custom.

    2. Enter the Custom Label as SharePoint.

    3. Click Done.

  8. Select the SharePoint tab, locate the TM_SharePoint_OBO_cmp component in the left pane, and drag and drop it onto the SharePoint tab.

  10. Click Activate.

  11. Click Assign as Org Default.

  1. Go to Setup > Object Manager.

  3. Select Lightning Record Pages > Proposal w/ Contracts Record Page.

  4. Click Clone.

  5. The Lightning App Builder appears, select any tab on the page to reveal the Add Tab option in the right pane.

  7. Click the newly added Details tab.

Edit Page Layouts

  1. Go to Our Contract Object Manager, then go to Page Layouts, and open the IDIQ Layout.

  2. Go to Related Lists and drag-and-drop Solicitations and Proposals into the Related Lists section below the OCIs Related List.
    The Related Lists are added.

  3. In Solicitations Related List, click the wrench icon.

  4. In Columns, select and move the below highlighted fields from Available Fields to Selected Fields using the Add arrow button.

  5. Next, scroll down to Buttons and click its plus icon.

  6. Select the New and Change Owner checkboxes and click OK.

    The buttons and fields are added.

  7. Similarly, in Proposals Related List, click the wrench icon.

  8. In Columns, select and move the below highlighted fields from Available Fields to Selected Fields using the Add arrow button.

  9. Additionally, select Sort By as Proposal Status and choose Ascending.

  10. Next, scroll down to Buttons and click its plus icon.

  11. Select the New and Change Owner checkboxes and click OK.

    The buttons and fields are added.

  12. In Related Lists, drag-and-drop TINA Certifications into the Related Lists section below the Small Business Plans Related List and click Save.
    The Related List is added.
    A confirmation message displays.

  13. Click Yes.

  14. Go back to Page Layouts and add TINA Certifications into the Related Lists section below the Small Business Plans Related List for the Definitive and Order - Layouts.

  15. On any layout, click the wrench icon present in the TINA Certifications Related List.

  16. In Columns, select and move the below highlighted fields from Available Fields to Selected Fields using the Add arrow button.

  17. Additionally, select Sort By as TINA Status and choose Ascending.

  18. Select the Select All checkbox.

  19. Next, scroll down to Buttons and click its plus icon.

  20. Select the New and Change Owner checkboxes and click OK.

  21. Click Save.
    The buttons and fields are added to this layout, along with all the other selected layouts.

  22. Go to Subcontract Object Manager, then go to Page Layouts, and open the IDIQ SubK Layout.

  23. Go to Related Lists, drag-and-drop TINA Certifications into the Related Lists section below the Subcontract Labor Category Rates Related List, and click Save.
    The Related List is added.

  24. Click Yes on the confirmation message.

  25. Go back to Page Layouts and add TINA Certifications into the Related Lists section below the Subcontract Labor Category Rates Related List for the Definitive and Order SubK - Layouts.

  26. On any layout, click the wrench icon present in the TINA Certifications Related List.

  27. In Columns, select and move the below highlighted fields from Available Fields to Selected Fields using the Add arrow button.

  28. Additionally, select Sort By as TINA Status and choose Ascending.

  29. Select the Select All checkbox.

  30. Next, scroll down to Buttons and click its plus icon.

  31. Select the New and Change Owner checkboxes and click OK.

  32. Click Save.

    The buttons and fields are added to this layout, along with all the other selected layouts.

Configure Page Layouts for Contract and Subcontract Objects

  1. Go to Contract Suite Configure using App Launcher.

  2. Select Contract and a record type such as Definitive and click Go.

  3. Scroll down to the Opportunity Details section and click Add Field.

  4. Enter Field Label as Proposal and Field Api Name as TM_TOMA__Proposal__c and click Add.

  5. Similarly, add another field with Field Label as TINA Exemption and Field Api Name as TM_TOMA__TINA_Exemption__c.
    Fields are added.


  6. Click Save.

  7. Similarly, add both the above fields to all record type page layouts of the Contract object.
    The fields are added.

  8. Select Sub Contract and a record type such as Definitive and click Go.

  9. Scroll down to the Additional Information section and click Add Field.

  10. Enter Field Label as TINA Exemption and Field Api Name as TM_TOMA__TINA_Exemption__c and click Add.

  11. Click Save.

  12. Similarly, add the above field to all record type page layouts of the Subcontract object.
    The fields are added.

Add Report to Dashboard

  1. Go to Contracts Suite Home using App Launcher and click Open in Approver Dashboard.

  2. Click Edit.

  3. Click + Widget and select Chart or Table.

  4. Scroll down to All Folders, search for, and open Pre-Award Reports.

  5. Scroll down, select My Proposals Pending Review and Approval, and click Select.

  6. Select Display As Lightning Table.

  7. Select the following six columns and set Sort By as Proposal Record No. in an ascending (upward arrow icon) order.

  8. Click Add.

  9. Click Save and then click Done.
    The Report is added to Dashboard.

Configuration of Pre-award with Growth

Prerequisites

  • Ensure that TechnoMile's Growth Suite is already installed and configured. The version of this package must be 2024.3 or higher.

Edit Page Layouts

  1. Go to Opportunity Object Manager, then go to Page Layouts, and open your currently assigned Opportunity Layout.

  2. Go to Related Lists and drag-and-drop Solicitations and Proposals into the Related Lists section.
    The Related Lists are added.

  3. In Solicitations Related List, click the wrench icon.

  4. In Columns, select and move the below highlighted fields from Available Fields to Selected Fields using the Add arrow button.

  5. Next, scroll down to Buttons and click its plus icon.

  6. Select the New and Change Owner checkboxes and click OK.

    The buttons and fields are added.

  7. Similarly, in Proposals Related List, click the wrench icon.

  8. In Columns, select and move the below highlighted fields from Available Fields to Selected Fields using the Add arrow button.

  9. Additionally, select Sort By as Proposal Status and choose Ascending.

  10. Next, scroll down to Buttons and click its plus icon.

  11. Select the New and Change Owner checkboxes and click OK.

    The buttons and fields are added.

  12. Click Save.

  13. Click Yes on the confirmation message.

Activate Flows

  1. Go to Flows using Setup search.

  2. Open the Pre-Award OOB Generate Solicitation from Spark flow.

  3. Click Activate.

    The flow is activated.

  4. Similarly, activate the Pre-Award OOB Generation of solicitation When Spark Updated flow.
