CDRLs User Guide

Overview

The CDRLs feature on both Contract Vehicle and Opportunity objects enables you to import and maintain an official Contract Data Requirements List Form in Salesforce. Using this feature, you can upload a new document, manually modify Contract Line Items, and easily track the history of changes on a specific CDRL Form.

This document is a step-by-step guide on how you can use the CDRLs feature in Salesforce.

Audience

  • Contracts Suite Users

Prerequisites

  • Ensure that Contracts Module - TechnoMile Suite Sales Cloud Edition has already been installed and configured. The version of this package must be 6.21 or higher.

Using CDRL Tab on Contract Vehicle

  1. Open App Launcher, enter text Contract Vehicles in the search bar, and click Contract Vehicles in search results.

  2. Click to open a Contract Vehicle record. mceclip1.png

  3. Contract Vehicle record page opens, go to the CDRL tab and click Upload CDRL.

  4. Click the upload icon, choose a CDRL PDF file to upload that was sent to you by TechnoMile, and click Upload Attachment.

    CDRL document is sent for parsing.

  5. Click Close.mceclip2.pngAn email is sent to the user, along with the link to check Parsing status. mceclip1.pngOnce Document parsing is complete, another email is sent to the same user, along with the link to the CDRL Form that displays the Parsed/imported data.

  6. Click the link received in the email.

  7. Go to the CDRL tab and click the Map Contractor icon to update Contractor details.

  8. Choose an Available Contractor and click Save.mceclip4.pngSuccess! message displays. mceclip9.png

    NOTE

    Alternatively, in case there are no Contractor(s) readily available, choose Yes and then click Save to create a new Account that will be associated with this CDRL record.

  9. Click Select CDRL to select the recently uploaded CDRL data file (being CDRL-0604, in this case). mceclip10.pngCDRL fields are auto-populated and you can edit the fields here, if required.

    NOTE

    You can upload and then view/edit multiple CDRL data files by performing the same steps as shown above.

  10. Click to expand a Contract Line Item and view its details associated with a CDRL record for a particular Contract.

    NOTE

    You can also click Expand All and Collapse All to expand and collapse all Contract Line Items at once.

  11. Click View CDRL Distribution. mceclip11.pngDistribution Fields popup window opens. 

  12. Click Close.

  13. Edit values in fields such as Frequency, App Code, Requiring Office, etc. and click Update CDRL.

    Note that you can also view the Audit History of a particular CDRL record that displays in the form of a table, as highlighted in the image below.mceclip12.png

  14. Click Add Item. mceclip15.pngContract Line Item is added.

    NOTE

    In cases where multiple Contract Line Items are created while clicking the Add Item button and data is added into the field(s) of only one Contract Line Item, then all the remaining Contract Line Items with no data in them are automatically removed from the CDRL record, post clicking the Update CDRL button.

  15. Scroll up and click New CDRL. mceclip13.png

  16. Enter values in fields such as Contract Line Item No., Category, Exhibit, etc. and click Create CDRL. mceclip14.pngSuccess! message displays.

Using CDRL Tab on Opportunity

Similarly, you can perform all the above mentioned actions on the CDRL tab of an Opportunity record as well.
