User Profiles Configuration Guide

Prev Next

To add a new user for your TechnoMile Growth Suite, you generally follow the Salesforce guides for user creation and management. In this article, we provide the steps to create a new user, important information about key settings, and some background information as it relates to the TechnoMile Growth Suite. Salesforce also has detailed information regarding user creation and management.

To create a new user for your TechnoMile Growth Suite, there are two (2) primary steps:

  1. Create a User.

  2. Assign a Permission Set or Profile.

    NOTE

In Salesforce, Permission Sets and Profiles function differently. Read below for some background information or for more details, review the Salesforce article about User Management.

Salesforce: Platform and Sales Cloud

The steps to create a user can vary depending on the type of Salesforce license you have.

  • Salesforce Platform
When you create users, you will select Salesforce Platform for User License when creating this user.

  • Salesforce Sales Cloud
When you create users, you will select Salesforce for User License when creating this user.

Determine If You Have Salesforce: Platform or Sales Cloud

An easy way to tell which license you have:

  • Sales Cloud licenses
You will see the Opportunities tab in your Growth application

  • Platform licenses
You will see the Growth Opportunities tab in your Growth application

NOTE

If you do not see the appropriate license type in the User License field, that means you have run out of those licenses and you must either purchase additional licenses or reallocate your existing licenses.

Salesforce: Permission Sets and Profiles

Salesforce Permission Sets and Profiles are both ways to control the access and permissions of users. The main difference between them is that each user can have only one Profile but can have multiple Permission Sets.

  • Profiles are used to give or take away the base set of permissions for a group of users.

  • Permission Sets are used to give or extend additional permissions for individual users or sub-sets of users.

Within the TechnoMile Growth Suite, Permission Sets are included as part of the default package.

Profiles are not included in the Growth Suite default package. TechnoMile recommends using the Standard User profile when creating new users. If you already have Profiles created in your Salesforce org, then you can apply a Salesforce profile to the new user.

IMPORTANT

If your company has gone through an implementation process either with TechnoMile or a different service provider and has additional functionality built into the system, you may then need to select a different Profile to ensure the user has access to all the necessary items.

About Salesforce: Usernames

Salesforce usernames are UNIQUE across the entirety of Salesforce, this includes Sandbox environments. Usernames must be in the format of an email, but do not have to be a valid email address. Within a User Profile, email addresses do not have to be unique. You can have the same email address on multiple users both in Production and Sandbox environments.
